The “Swivel Chair” Problem 

Before we got fancy automation, we had noticed a pattern which is way too common in the industry. We gave it the nickname of "Swivel Chair" effect. 

 

Picture an order popping up. A person is required to check a single screen and jot down the information, swivel to another screen and type it in again to set up a device. Sounds easy, but doing such a thing hundreds of times a week starts to take a toll. 

 

In the case study that we recently analyzed, this manual to provisioning approach created a perfect storm: 

to 100% change of all network changes were messed up: the Error Trap A crazy 23% of all network changes were messed up That means that nearly one in four orders had to be re-done before they ever got going. 

Additionally, the average response time for incidents, which are typically caused by bad provisioning, totalled a decent 4 hours. 

The Waste: As the teams were busy fixing mistakes, 40% of the network capacity was lying idle. They literally didn't have time to bring new services on the existing gear. 

 

That was not only annoying-it was expensive. The mess was costing the company about $400 000 a year in direct and lost opportunity costs. 

 

Moving from "Manual" to "Zero- Touch" 

We realized that in order to fix the order management flow, we needed to stop thinking of provisioning as a pile of manual tasks, and instead think about it as an automated workflow. 

 

We initiated an Intelligent Monitoring and Provisioning Framework. It sounds fancy but the idea is super simple: Let code do the repetitive stuff. 

 

Here’s what changed: 

1. Zero‑Touch Deployment 

Instead of having an engineer manually type commands for each new router or switch as it is purchased, the system automatically pushes the configs as required. This eliminated those "fat finger" mistakes that kill manual entry. 

 

2. Templates and Version Control 

And we ended reinventing the wheel for every order. We created "Gold Standard" templates for Broadband, VoIP and Wireless configurations. When an order came in, it retrieved the appropriate template, slightly altered the specifics (such as IP addresses) and put it out. 

 

3. Breaking Down the Silos 

Before, the Network crew didn't talk to the Security, and Security didn't talk to Systems. With the unifying of the dashboard, everyone could see the same status of the order at once. If a security compliance failed during provisioning, the system flagged it instantly - not three days later. 


How Automation Impacts Humanity 

The numbers from our transformation project tell a tech story but the human side is even cooler. 

 

Six months after overhauling provisioning and order management process: 

Accuracy Increases: - Accuracy Skyrocketed: Config accuracy hit 99.8%. We went from fixing every fourth order to almost zero mistakes. 

Capacity Unlocked The 40% of resources that are wasted? We reclaimed them. The crew could finally use the equipment that they already paid for. 

The Bottom Line What we did: $320,000 in year savings in operational costs. 

 

But the best metric? Customer Satisfaction scores increased 30 percent.
